2. If your email is with Google or Microsoft
If you sign in through Google or Microsoft, keep doing that — we do not administer that mailbox. We do look after the records that make your mail arrive, so tell us first if it ever stops.
Some of the businesses we look after keep their email with Google Workspace or Microsoft 365 rather than with us. If that is you, this page is the whole story — the other email guides in this section will not match what you see.
2.1 Where to sign in
- Google Workspace — mail.google.com, using your business address rather than a personal Gmail one.
- Microsoft 365 — outlook.office.com.
Both work on the web, and both have their own phone and desktop apps that will set themselves up once you sign in.
2.2 Who to ask for what
The line is worth knowing, because asking the wrong party wastes a day.
- Passwords, mailboxes, new staff addresses, storage. These live inside Google or Microsoft. Whoever set the account up administers it — often someone in your own business, sometimes an IT provider. We do not have access, and cannot reset those passwords.
- Your email arriving at all. That depends on the records attached to your domain, and those we do look after. If mail stops flowing, we can check that side in a minute.
- Enquiries from your website. Your contact form is ours regardless of who hosts your mailbox. If form messages stop arriving, tell us.
2.3 Why we still need to know about it
Your domain’s records point mail to Google or Microsoft. We manage that domain, so any work we do — moving your site, changing hosting, updating records — has to leave those pointers untouched. We know they are there and we work around them carefully. It is worth telling us if you ever change email provider, so we can keep the records correct rather than discovering it afterwards.
2.4 If your email stops working
Tell us first, even though it is not our mailbox. Checking whether the domain’s records are correct takes us a moment, and it either finds the problem or rules out an entire category of causes before you spend time on hold with somebody else.
